How to Manage Training Certificates
Upload certificates and enter training details for staff members in the training profile table.
Overview
After assigning training disciplines to your staff, you need to record their individual training certificates and details. This includes uploading certificate files, entering certificate numbers, and setting expiry dates. The training profile table will automatically update as expiry dates approach, helping you stay on top of renewals.
Before managing certificates, make sure you've assigned training disciplines to your staff. See How to Assign Training Disciplines to Staff if you need to do this first.
Accessing Training Profiles
To access the training profile table:
- Go to Main Menu → Training → Profiles
This table shows all staff members who have been assigned training disciplines.
Updating Training Records
To update a staff member's training record:
- From the training profile table, click the Edit button in the Actions column for the staff member you want to update
- Upload certificate files for each training requirement
- Enter certificate numbers where applicable
- Set expiry dates for each certificate
- Save your changes
Automatic Status Updates
The training profile table uses a traffic light system in the Discipline Training column to show the status of each staff member's training:
- Green: All training is up to date
- Amber: One or more training certificates are coming up for renewal
- Red: One or more training requirements have passed or expired
This status updates automatically as expiry dates approach, giving you a quick visual overview of your team's training compliance.
