How to Create Standard Assets
Add individual tools, PPE, and equipment to your asset register.
Overview
Standard assets are the individual physical items you track in XMP - things like harnesses, hard hats, test equipment, and tools. Each standard asset is created from an Asset Type and assigned to a Location Lead. Before creating standard assets, make sure you've already set up your Asset Types and Location Leads.
Accessing Company Assets
Go to Main Menu → Assets → Company Assets.
Creating a Standard Asset
- Click "Add New" in the top corner
- Select Standard Asset from the menu
- Choose whether the asset is Company-owned or Third-party owned (hire equipment)
- If third-party, select the supplier
- Select the Asset Type (e.g., Harness, Hard Hat, Heat Gun)
- Select the Category
- Enter an Asset Name - this can be anything you like and doesn't need to be unique (e.g., "John's Harness")
- Add Serial Number and Manufacturer (optional but recommended)
- Assign a Location Lead - the person, vehicle, or office responsible for this asset
- Set the Inspection Date - either the last inspection date or a future one
- Set the Inspection Expiry Duration (6 months, 12 months, or custom)
- Mark as Borrowable if this asset should appear in the Kit Diary
- Click Save
Understanding Auto-Generated Fields
When you create an asset, XMP automatically generates a unique Asset Number. This number is always unique, while your Asset Name can be whatever makes sense for your team.
Working Life and Shelf Life
If your Asset Type has shelf life or working life configured, these rules automatically apply to your new asset. For example, if your "Hard Hat" Asset Type has a 5-year shelf life, every hard hat you create will inherit that setting.
