How to Use the Kit Diary
Track which assets are available to borrow and view borrowing history.
Overview
The Kit Diary shows you which assets are available to borrow, which are currently checked out, and who has them. This is useful for managing shared equipment like tools, test equipment, or PPE that multiple people might need to use. Only assets specifically marked as "borrowable" appear in the Kit Diary, keeping the view focused on equipment that moves between people.
What Assets Appear in the Kit Diary
An asset will only appear in the Kit Diary if:
- It has been marked as borrowable when it was created or edited
- It is currently valid (not expired or overdue for inspection)
Assets that are expired or invalid should not be borrowable, as they're not safe or compliant to use. If an asset's inspection or working life expires, it will automatically be removed from the available pool until it's renewed.
Accessing the Kit Diary
Go to Main Menu → Assets → Kit Diary. This displays all borrowable assets and their current status.
What You Can See in the Kit Diary
The Kit Diary shows you:
- Asset availability: Which assets are currently available to borrow and which are checked out
- Borrowing history: Who has borrowed an asset previously and when
- Current holder: Who currently has a checked-out asset
This makes it easy to track down equipment when you need it or identify patterns in how assets are being used.
Which Assets Should Be Borrowable
Mark assets as borrowable when:
- Multiple people need to share the equipment
- The asset moves between job sites or engineers
- You need to track who has the asset at any given time
Examples of borrowable assets include:
- Specialist test equipment used across multiple projects
- Shared tools that aren't assigned to one person
- High-value equipment that needs accountability tracking
Which Assets Should Not Be Borrowable
Don't mark assets as borrowable if:
- They're permanently assigned to one person (like personal PPE)
- They stay in one fixed location (like office equipment)
- They're expired or need inspection
Making an Asset Borrowable
When creating or editing an asset in the Company Assets section, you'll see a checkbox or toggle for Mark as borrowable. Enable this option to add the asset to the Kit Diary. You can change this setting at any time by editing the asset.
