Understanding the Company Assets Table

Learn how to read and use the Company Assets table to track your equipment.

Overview

The Company Assets table is your central view for all equipment tracked in XMP. It shows you at a glance where assets are, who has them, and whether any action is needed. Understanding how to read this table helps you quickly identify assets that need inspection, find equipment assigned to specific people or vehicles, and stay on top of compliance.

Accessing the Company Assets Table

Go to Main Menu → Assets → Company Assets. This displays a table of all your company's assets.

Understanding the Columns

Asset Number

Automatically created by XMP and unique to each asset. This number is generated when you create an asset and can't be changed.

Asset Name

The name you set yourself when creating the asset. This does not need to be unique. For example, you might have multiple assets named "Hard Hat" but each will have a different asset number.

Asset Type

The template this asset was created from, such as "Van", "Hard Hat", or "Heat Gun". Asset types determine what expiry rules and inspection requirements apply to the asset. See How to Create Asset Types for more information.

Location

Shows where the asset is currently located or who it's assigned to. This will be one of your Location Leads - either a person, vehicle, office, or store. Use this to quickly find which engineer has a specific piece of kit or which assets are in a particular van.

Owner

The company that owns the asset. This is useful for tracking third-party hire equipment alongside your own company assets.

Next Expiry

Shows the date of the next expiry event for this asset. This could be an MOT date, inspection date, service date, shelf life expiry, working life expiry, or calibration date. XMP tracks multiple expiry events for each asset and displays whichever one is coming up next.

Status

A colour indicator that shows whether action is needed on this asset. The status works together with the Next Expiry column to give you a visual signal of urgency.

Status Indicators Explained

Green Status

No action needed. The next expiry date is more than three months away. Your asset is compliant and doesn't require immediate attention.

Example: A van with an MOT date six months in the future will show green.

Amber Status

Action needed soon. The next expiry date is within the next three months. You should start planning to renew, inspect, or service this asset.

Example: A hard hat with an inspection due in two months will show amber.

Red Status

Overdue. The expiry date has passed. This asset should not be used until it's been inspected, serviced, or renewed.

Example: A harness that needed inspection last week will show red.

Viewing Status Details

To see which specific expiry event is causing a red or amber status, hover over the status indicator in the table. A tooltip will explain which date has expired or is approaching.

Filtering Assets

The Company Assets table includes powerful filters that help you find specific assets quickly:

  • By Location Lead: Filter by person, vehicle, office, or store to see all assets in a specific location
  • By Asset Type: Show only specific types of equipment (e.g., all harnesses or all vans)
  • By Status: View all expired assets (red), assets expiring soon (amber), or assets with upcoming expiries (e.g., next 12 weeks)
  • By Ownership: Filter between company-owned and third-party-owned assets

These filters make it easy to plan inspections, identify which equipment needs attention, and prepare for audits.

Exporting Asset Data

You can export the asset list to Excel for offline analysis, reporting, or audit preparation. This gives you flexibility to work with the data in ways that suit your business processes.
