How to View and Filter Access Tasks

Find open access work, apply filters, and save the views your team uses most often.

Overview

Access tasks give you a list of jobs that need site access organised. Instead of hunting through the schedule or a report, you can see outstanding access work in one place, then narrow the list to a project, person, site, or status.

Access tasks are created automatically from the schedule. See How to Enable Access Tasks from the Schedule if you are not seeing tasks yet.

How to Access

Go to Main Menu → Tasks → Access.

By default, the page shows open access tasks for everyone in your team. Each row includes the project, status, site, job date, user, PM, documents, and issues, plus three quick action buttons on the right.

Filtering the List

  1. Click the "Filter" button in the top left corner.
  2. Narrow the list by project group, users, sites, task statuses, or date range.
  3. Click "Close" in the bottom right. The table updates to match your filters.

This is useful when you are chasing access for one project, or only want to see tasks in a status such as Requested.

Saving and Resetting Filters

If you use the same filter often, save it as a shortcut:

  1. Set up the filter you want, for example a project and a task status.
  2. Click "Save Filters".
  3. Give the filter a clear name and click "Save Filter".

Saved filters live under the "Saved Filters" button in the top left. Switch between them from the dropdown.

To return to this week's open tasks, click "Reset Filters".
