How to Enable Access Tasks from the Schedule

Turn on Has Access Responsibility when you book work so XMP creates the access task for you.

Overview

You do not create access tasks by hand. When a new schedule entry is saved and Has Access Responsibility is on, XMP adds a matching row to the access task list. That means access work appears as soon as the job is booked, rather than as a separate admin step.

If you have not booked the job yet, see How to Book Work in the Schedule.

How Access Tasks Are Created

  1. Go to Main Menu → Schedule and create or open a schedule entry.
  2. Turn on the Has Access Responsibility toggle.
  3. Save the entry.

A new line then appears in the access task table at Main Menu → Tasks → Access. Click any row to open the task and start assigning, commenting, or updating status.

Why This Helps

Access managers can work from a task list instead of checking every new booking. If a job later changes — personnel, dates, or a cancellation — those updates are posted onto the same access task so the request stays accurate. See How to Keep Access Tasks in Sync with the Schedule.
