How to Update Access Task Statuses

Move an access task through pending, requested, escalated, confirmed, or rejected as the request progresses.

Overview

Access task statuses let you show where each request is in your workflow. Updating status as you go makes it easier for colleagues to see what still needs chasing, without opening every task.

How to Access

Go to Main Menu → Tasks → Access and click a task. Access tasks start as Pending. You can then move them to:

  • Requested — the access request has been raised
  • Escalated — it needs a chase or a higher-level contact
  • Confirmed — access is approved and the job can proceed
  • Rejected — access was not granted

Filtering by Status

Use the filters in the top left to show only the statuses you care about. For example, filter by Requested when you are chasing outstanding replies. Combine this with a project, site, or user filter if you are splitting work across the team. See How to View and Filter Access Tasks.

Keeping the Wider Team Informed

Status is one part of progress. You can also update access milestones from the task, attach documents, and flag jobs that need urgent attention. If the booked team or dates change, XMP posts a comment on the task so you can amend the request if needed.
