How to View and Filter Training Profiles
Use the Training Profiles table to prioritise renewals, filter by requirement and discipline, and see which certificates affect scheduling.
Overview
The Training Profiles table helps training managers see who needs attention first, inspect specific certificates, and understand who can be scheduled. Assign disciplines and record certificates first—see How to Assign Training Disciplines to Staff and How to Manage Training Certificates.
Accessing Training Profiles
- Go to Main Menu → Training → Profiles
The table lists staff with assigned training disciplines.
Sort, Comments, and Statuses
Click Next Expiry Date to sort (for example ascending) and work renewals in date order. Add comments from the table—for example that you have chased someone to book re-training.
You can see each certificate’s status in the table (not only the overall roll-up). Discipline Training shows a traffic light: green (in date for what you are viewing), amber (expiring within three months), red (expired). The view defaults to emphasising amber and red so actionable items stand out.
Filter by Requirement and Discipline
On the right, type or pick a requirement; the table highlights it (for example with an underline) and lists matching people. Combine that with a discipline filter—for example electricians with a valid 18th edition certificate.
Green rows in the per-requirement list are hidden by default when everything is in date, to reduce noise. When you filter for a specific requirement, greens show again so you can confirm who is fully compliant for that certificate.
Required for Scheduling
A calendar icon means the requirement is required for scheduling (configured on the requirement). Use the Required for Scheduling? checkbox to show only those certificates. Office-only or induction training that does not affect booking is often left off scheduling, so it behaves differently from site qualifications.
Training and the Schedule
If a scheduling-required item is expired or incomplete, the person cannot be scheduled. Amber still allows scheduling until it turns red. Booking work after an expiry date is blocked when the certificate would not be valid for that date.
