How to Set Up a Personnel Profile for the Schedule

Configure a staff member's profile so they appear correctly when booking jobs in the schedule.

Overview

Not everyone in your company needs to appear in the schedule — office staff work behind the scenes while field engineers need to be bookable onto jobs. XMP gives you granular control over who appears where by configuring each person's Access Control Details in their personnel profile.

How to Configure a Profile

  1. Go to Main Menu → Human Resources → Personnel
  2. Find the person you want to configure and click the pencil icon to open their profile
  3. Make sure their Department is set correctly (e.g., Field or Operations)
  4. Scroll down to the Access Control Details section
  5. Configure the toggles as needed (see below)
  6. Scroll to the bottom and click Update

Access Control Detail Toggles

  • Show this user in engineer lists — makes this person selectable as a team member when booking schedule entries
  • Show user in engineer team leader list — enables them to be assigned as the Team Leader or PICW on a job
  • This user is shown in unallocated list — makes this person visible in the Unallocated section of the schedule on days when they have no jobs booked

Settings by Role

  • Field engineers — enable a mix of all three toggles as needed
  • Office or operations staff — leave all three toggles off to keep them out of the schedule
