How to Create Vehicle Assets
Track vans, cars, and 4x4s with MOT dates, service schedules, and mileage.
Overview
Vehicle assets in XMP let you track your company fleet including vans, cars, and 4x4s. Vehicles have specific fields for MOT dates, service schedules, mileage, and registration numbers. When you create a vehicle, it automatically becomes a Location Lead, which means you can assign tools and equipment to it. Before creating vehicle assets, make sure you've set up your Asset Types.
Accessing Company Assets
Go to Main Menu → Assets → Company Assets.
Creating a Vehicle Asset
- Click "Add New" in the top corner
- Select Vehicle Asset from the menu
- Select Vehicles from the Category dropdown
- Enter an Asset Name - this can be the registration number or something like "Tam's Car" or "Engineering Van 1"
- Assign a Location Lead - typically the person responsible for the vehicle
- Enter the Registration Number
- Input current Mileage (optional)
- Enter the MOT Date - this should be the date of the most recent MOT
- Set the MOT Expiry duration (typically 12 months)
- Enter the Service Date - the date of the most recent service
- Set the Service Expiry duration (typically 6 or 12 months)
- Add any additional details like warranty dates or assigned team members
- Click Save
Understanding MOT and Service Dates
When you enter MOT and service dates, use the most recent date (not the next due date). XMP will automatically calculate when the next MOT or service is due based on the expiry duration you set. The asset status will change to amber when these dates are approaching and red when they've passed.
Vehicles as Location Leads
Once created, your vehicle automatically appears in the Location Leads list. This means you can assign tools, equipment, and other assets to this vehicle, making it easy to track what kit is stored in each van.
