How to Cancel a Schedule Entry
Cancel a booked job in the XMP schedule and automatically notify your team.
Overview
When a planned job can no longer go ahead, cancelling the schedule entry in XMP ensures your team is automatically notified — no need to phone engineers one by one. The entry remains visible on the schedule but shows clearly as struck through so nothing gets lost.
Cancellation Steps
- Go to Main Menu → Schedule
- Find the job you want to cancel — browse by date or use the filters to locate it
- Click into the schedule entry to open it
- Click the red "Cancel" button at the bottom of the entry
- In the cancellation dialog, add a note explaining the reason (e.g., "Access not confirmed — rescheduling for next week")
- If anyone outside the booked team needs to be informed, add them in the Additional users to notify field
- Confirm the cancellation
What Happens Next
Once cancelled, the entry appears struck through on the schedule, making it clearly distinguishable from active jobs. Every engineer booked onto that job receives an automatic notification via the XMP mobile app letting them know it has been cancelled.
The cancellation note you added is stored against the entry, so there's a record of why it was cancelled if anyone needs to check later.
