How to Keep Access Tasks in Sync with the Schedule

See how XMP updates an access task when the booked team, dates, or job status changes.

Overview

Once an access task exists, it stays linked to its schedule entry. When the scheduler changes the team, dates, or cancels the job, XMP posts those updates onto the access task so you can amend the request or documentation if needed.

Access tasks are created when Has Access Responsibility is on. See How to Enable Access Tasks from the Schedule.

Personnel Changes

If the people booked on the job change, XMP posts a comment on the access task explaining the team change. That makes it clear who has been added or removed, and for which dates, so you can update the access request if the named personnel matter to the site.

Cancellations

If a schedule entry is cancelled and the access task is still open, the task is automatically marked as cancelled as well. A comment is added to explain that the job has been cancelled. See How to Cancel a Schedule Entry for how to cancel the booking itself.

Changes After the Task Is Closed

If an access task has already been completed and closed, and the scheduler later changes the dates or personnel, the task is reopened and marked as red so it stands out as needing attention.

If the scheduler leaves a note against the updated job, that note is copied into the access task comments. This is useful for explaining personnel changes, date changes, or cancellations without a separate message.
