How to Book Work in the Schedule
Step-by-step guide to creating a schedule entry and assigning your team to a job.
Overview
The XMP schedule lets you plan and allocate field work across your team. Before a site can be booked, its Finance Open milestone must have a date set — this confirms you have the go-ahead to start spending on that job. Sites without Finance Open won't be selectable.
How to Book a Schedule Entry
- Go to Main Menu → Schedule
- Click "Add New Work"
- Select the Project you're booking against
- Select the Project Manager and Client for this job
- Search for the Site — only sites with Finance Open will be selectable
- Under the booking section, choose your Work Type (e.g., Rigging, Site Survey)
- Choose the date or date range for the job
Assigning Your Team
- Click the Staff tab
- Select the PICW (Person in Charge of Works)
- Select the Team Leader
- Add your specific team members for this job
- If the same team is working across multiple days, click "Copy Across" to apply the same team to all selected dates — then edit individual days as needed
Saving the Entry
Click the Review tab to check everything looks correct, then click Save. Once saved, the job appears on the schedule and engineers will see it in the XMP mobile app.
If the work type you've selected requires timesheets, your engineers will automatically be prompted to submit their hours for this job via the app.
