Completing Smart Forms on the App

Smart Forms can be completed directly against a site and project, either as part of scheduled work or independently without a scheduled job.

Smart Forms on the XMP mobile app provide greater flexibility for completing site audits, health and safety inspections, emergency work reports and other on-site activities.
By enabling Field Engineers to capture information, upload photographic evidence and submit forms directly against a site and project, Smart Forms reduce paperwork and administrative tasks, allowing engineers to spend less time on documentation and more time focusing on the job at hand.

 

Completing a Smart Form During Scheduled Work

  1. Open the XMP mobile app.
  2. From the Schedule, select the Job you have been allocated for that day.
  3. You will see any previously completed forms and associated documents for the selected site and project.
  4. Select Start a new form with a template.
  5. Choose the form you wish to complete (e.g., "Site HSE Audit" or "End of Job Checklist").
  6. Select your preferred form completion mode:
    • Signpost View: Guides you through the form question by question. Questions cannot be skipped unless an N/A option has been configured for the question.
    • List View: Allows you to navigate freely between sections and question groups, making it easier to complete different parts of the form in any order.
  7. Complete the required fields and select Submit.

Completing a Smart Form Without Scheduled Work

  1. Open the XMP mobile app.
  2. Open the Main Menu and select Forms.
  3. Select the Project you are working on.
  4. Select the relevant Site.
  5. You will see any previously completed forms and associated documents for the selected site and project.
  6. Select Start a new form with a template.
  7. Choose the form you wish to complete (e.g., "Site HSE Audit" or "End of Job Checklist").
  8. Complete the required fields and select Submit.

Once submitted, the completed form is recorded against the selected site and project in XMP, even if no work was scheduled.

Important: The form must be available to the selected project and site through its configured availability settings.
