How to Set Up Salary and Day Rates on a Personnel Profile
Set salary, day rate, and standard daily rate on a personnel profile for timesheets, payroll, and site costing.
Overview
Each personnel profile can include pay details in the Payroll Details section. XMP uses three related fields — Salary, Day rate, and Standard Daily Rate — to support timesheets, payroll, and site-level costing. All three are optional, but you will need the right combination depending on what you use XMP for.
Before setting pay details, the person needs a personnel record. See How to Add a New User for how to create one.
Accessing Payroll Details
Go to Main Menu → Human Resources → Personnel, click Edit on the staff member, then look for the Payroll Details section at the upper right.
Understanding the Three Fields
Salary and Day rate
Salary and Day rate both record the person's actual pay rate. You do not need to fill in both — enter whichever fits how that person is paid.
The Day rate is the figure that flows into the staff member's timesheet. When timesheets are approved, that rate is reflected in the timesheet.
Standard Daily Rate
Standard Daily Rate is a separate, standardised figure — not the person's true pay rate. It gives a consistent cost across the business without exposing individual salaries in operational views.
This is the rate used for site reconciliation, work in progress (WIP), and margin calculations. It can include averages for costs such as digs, fuel, or PPE, depending on how your finance team sets it up.
What You Need to Enter
- Timesheets and payroll — enter either Salary or Day rate (or both if you use them)
- Site margins — enter at least a Standard Daily Rate
In practice, many staff will have all three filled in: actual pay in Salary or Day rate, and a Standard Daily Rate for site-level costing.
Setting Up Pay Details
- Go to Main Menu → Human Resources → Personnel
- Click Edit on the staff member
- Open the Payroll Details section
- Enter Salary and/or Day rate as appropriate for how the person is paid
- Enter a Standard Daily Rate if you use site margins, WIP, or site reconciliation
- Click Update and Close to save
