How to Set Up Asset Notification Emails

Configure email notifications for asset expiry alerts to keep your team informed.

Overview

Asset notification emails help ensure your team stays informed about upcoming asset expirations, such as MOT dates, service dates, inspection deadlines, and certificate renewals. These notifications are configured in the Human Resources section of XMP, not in the Assets area itself.

Accessing Asset Email Notifications

To configure asset notification emails:

  1. Go to Main Menu → Human Resources → Company HR Settings
  2. On the left-hand side, scroll to the bottom and select Email Notifications

Setting Up Notifications

In the Email Notifications section, you can add notifications for asset expiry. By default, the first notification type available is Asset Expiry.

To set up notifications:

  1. Leave the notification type set to "All"
  2. Select which user should receive the notifications from the dropdown
  3. Add additional lines for each additional recipient you want to notify

Adding Multiple Recipients

Each line you add creates a separate email notification for one person. If you want three people to receive notifications, you need to add three separate lines—one for each person.

Saving Your Settings

Once you've added all the users who should receive asset expiry notifications, click the Save Email Notifications button. Your settings will be saved and notifications will be sent according to your configuration.

Next Steps

After setting up notifications, you may want to review your asset expiry dates to ensure they're accurate. See How to Create Standard Assets and How to Create Vehicle Assets for information on setting expiry dates when creating assets.
