How to Add Documents to Access Tasks

Attach proof and supporting files to an access task, and flag jobs that need urgent attention.

Overview

As you work through access, you often collect permits, emails, or other proof that the request is in progress or approved. Attaching those files to the access task keeps the evidence with the job, so colleagues do not have to search elsewhere.

Open a task from Main Menu → Tasks → Access. See How to View and Filter Access Tasks if you need to find the row first.

Adding Documents

  1. Click the access task to open it.
  2. Scroll down the right-hand side to the documents area.
  3. Drop in the files you want to keep with the task — for example confirmation emails, permits, or updated RAMS.

The documents column on the main table shows that files are attached, so you can see at a glance which tasks already have supporting paperwork.

Flagging Important Tasks

If a request is on a short deadline, or something has changed that needs a quick update — for example a team member has been swapped — you can mark the task as important:

  1. On the right-hand side of the task, click the exclamation mark button.
  2. Toggle it on or off as needed.

Important tasks show as red in the access task list so they stand out from the rest of the week's work.

XMP also marks a previously closed task as red if the schedule entry later changes. See How to Keep Access Tasks in Sync with the Schedule.
